Position: Executive Assistant

Type: Part-Time (20 hours per week)

Time Zone: Fixed Schedule (Central Time)

Compensation: $7 USD per hour


Overview

We are a fast-growing US "better-for-you" chocolate brand reinventing traditional chocolate bars with clean, simple ingredients. With in-house manufacturing in Texas and multiple new product launches ahead, we are looking for a highly capable Executive Assistant & Business Support Coordinator to help create structure and reduce founder admin load. This is a highly cross-functional role designed for someone who thrives in fast-moving, founder-led environments and enjoys wearing multiple hats across sales, operations, and brand support.


Key Responsibilities

  • Executive Support: Manage inbox triage, draft routine replies, coordinate complex calendar scheduling, and prepare meeting agendas/notes.
  • Trade Show & Event Logistics: Coordinate behind-the-scenes logistics for events, including shipping requirements, booth materials, and sample inventory tracking.
  • Customer & Partner Communication: Respond to inbound customer and retailer messages, manage support requests, and coordinate wholesale interest follow-ups.
  • Business Support & Admin: Organize internal digital filing systems, assist with reporting workflows, and build SOPs for recurring tasks.
  • Sales & Ops Support: Assist with sample request coordination, maintain CRM hygiene, and support EDI-related admin workflows.
  • Marketing Coordination: Handle routine community engagement on social channels and coordinate inbound content assets.

Required Skills & Experience

  • Proven experience as an Executive Assistant, Founder’s Associate, or Operations Coordinator.
  • Previous experience working within the CPG (Consumer Packaged Goods) space is strongly preferred.
  • Exceptional written and verbal English communication.
  • Exposure to operational functions such as accounting, EDI, or supply chain management is highly valuable.
  • High ownership with the ability to balance recurring admin with ad hoc business support.
